Painting Holiday Tours (“we”, “us”, “our”) respects your privacy and is committed to protecting the personal information you share with us. This policy explains what information we collect, why we collect it, how we use and store it, and who we share it with — whether you visit our website, enquire about a workshop, complete a registration, or travel with us. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

What information we collect
Contact and identity details: your name, title, gender, date of birth, postal address, email address and phone number.
Travelling companion details: if you book a shared-room package, we collect the same details for the partner or companion you nominate.
Travel and logistics: your arrival and departure dates and times, flight or transport details, accommodation preferences, and any pick-up or drop-off requirements.
Health, accessibility and dietary information: any medical conditions, allergies, accessibility needs or dietary requirements you choose to tell us so we can plan a safe and comfortable trip. Under the Privacy Act this is treated as “sensitive information”.
Emergency contact details: the name, relationship, phone number, email and address of the person you nominate to be contacted in an emergency.
Payment information: details needed to take deposits and payments for your booking. Deposits can be paid by PayPal or bank transfer; the remaining balance is by bank transfer, or by credit card through Stripe on request (a card surcharge applies). We do not store your full card details — card payments are handled securely by PayPal or Stripe.
Preferences and consents: your marketing preferences and your choice about whether photos or video that may include you can be used in our promotion.
Website information: when you visit our website we may collect technical information such as your IP address, browser type and the pages you view, through cookies and analytics tools (see “Cookies and website analytics” below).
Sensitive information and consent
Because our workshops take place in plein air settings — sometimes in remote or overseas locations — we ask for health, accessibility and dietary information so we can keep you safe and cater for your needs. We collect this only with your consent, which you give when you complete our registration form, and we use it solely to manage your booking, look after your wellbeing during the tour, and respond to emergencies.
How we collect your information
We collect most information directly from you — through our online enquiry and registration forms, by email, by phone, or in person. Where you provide information about another person (such as your travelling companion or emergency contact), you confirm that they are aware of this policy and agree to their details being shared with us for these purposes. We also collect some information automatically through our website using cookies and analytics.
How we use your information
We use your information to process and manage your booking; arrange accommodation, transport, meals and activities; cater for dietary and accessibility needs; respond to your enquiries; contact you (or your nominated emergency contact) when needed; process payments; and send you communications about your booking. Where you have opted in, we also use your details to send you news about future workshops. With your separate consent, we may use photographs or video taken during workshops — which may include you — to promote future tours on our website, social media and advertising.
Who we share your information with
We share only what is necessary to deliver your tour, and never sell your personal information. Depending on your booking, we may share relevant details with: accommodation providers, hotels and lodges; airlines, coach and transfer operators; our workshop tutors and any local guides or ground operators; our email platform (Brevo) for booking and newsletter communications where you have opted in; advertising and analytics platforms such as Meta (Facebook and Instagram); our payment providers (PayPal and Stripe); and our professional advisers or relevant authorities where we are required to by law.
Sending information overseas
Some of our workshops are held overseas (for example in Sri Lanka, Vietnam and France). To arrange your tour, we may need to share relevant details — typically your name and phone number, and where required for visas or entry, your passport details — with accommodation and tour providers located in those countries. We will discuss what information is needed with you at the time we collect it. We take reasonable steps to protect your information, but privacy laws in overseas countries may differ from Australia’s. Some of our service providers, such as Brevo and Meta, may also store information on servers outside Australia.
Marketing and how to opt out
We only send marketing emails to people who have opted in to receive them. Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or emailing us. Opting out of marketing won’t stop the booking-related messages we need to send you. You can also decline or withdraw your consent to the use of photos or video that identify you at any time — just let us know.
Cookies and website analytics
Our website uses cookies to help it work properly and to understand how visitors use it. We may also use third-party analytics and advertising tools — for example from Google and Meta — to measure website traffic and the performance of our advertising. These tools may set cookies and collect information such as your IP address and browsing activity. You can control or disable cookies through your browser settings, although some parts of the site may not work as well if you do.
If you leave a comment on our site, we collect the information shown in the comment form, along with your IP address and browser details, to help detect spam. If you have a Gravatar account, an anonymised version of your email address may be sent to the Gravatar service to check whether you use it; their privacy policy is at https://automattic.com/privacy/. Pages on our site may also include embedded content (such as videos or maps) from other websites, which behaves as though you had visited those websites directly and may collect information about you.
How we keep your information safe
We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access or disclosure — including secure website hosting and limiting access to your information to those who need it to do their work. No method of transmission or storage is ever completely secure, but we work to keep your information protected.
How long we keep your information
We keep your personal information only for as long as we need it for the purposes described above and to meet our legal, tax and insurance obligations. After that, we securely delete or de-identify it.
Your rights
You can ask us to access or correct the personal information we hold about you, or ask us to delete it (other than information we are required to keep for legal or administrative reasons). To make a request, please contact us using the details below.
